This article will guide you through the process of setting up a waiting room in Teams, ensuring a smooth and efficient meeting experience for all participants.

Step 1: Access the Meeting Options

To create a waiting room in Teams, you first need to access the meeting options. Before scheduling a meeting, click on the “Add meeting options” link next to the “Meeting ID” field in the calendar invite. This will open a new window with various settings for your meeting.

Step 2: Enable the Waiting Room Feature

In the meeting options window, scroll down to the “Privacy” section. Here, you will find the “Enable waiting room” toggle button. Click on it to enable the waiting room feature for your meeting. Once enabled, the button will turn blue, indicating that the waiting room is active.

Step 3: Customize Waiting Room Settings

After enabling the waiting room, you can further customize its settings. Click on the “Customize” link next to the “Enable waiting room” button. This will open a new window with several options:

  • Automatically admit all attendees: This option will automatically admit all participants as they join the meeting.
  • Admit attendees one by one: This option allows you to manually admit participants as they enter the waiting room.
  • Admit only specific attendees: This option lets you select specific attendees to admit to the meeting, while others remain in the waiting room.
  • Step 4: Invite Participants to the Waiting Room

    Once you have set up the waiting room, you can invite participants to join the meeting. Send out the calendar invite with the meeting details, including the meeting ID and password (if required). Participants will receive an email notification with instructions on how to join the meeting.

    Step 5: Manage Participants in the Waiting Room

    As participants join the waiting room, you can manage them from the “Manage participants” window in Teams. Here, you can admit participants individually, admit all participants at once, or remove participants from the waiting room if necessary.

    Step 6: Start the Meeting

    When you are ready to begin the meeting, click on the “Start meeting” button in the “Manage participants” window. The meeting will start, and participants who were in the waiting room will be admitted to the meeting.
